Kids’ Poetry Club Privacy Policy

This Privacy Policy follows the rules set by the U.S. Children’s Online Privacy Protection Act (COPPA) and other applicable laws. For consistency and clarity, the policy distinguishes between Children (defined here as those aged under 18), and their Parents/Guardians.

Information We Collect & How We Use It

Kids’ Poetry Club is a free service that does not require registration or membership. Children can enjoy the content and features in Kids’ Poetry Club (website and podcast) without directly providing contact information. That includes reading poems, watching kids’ poetry videos, and listening to kids’ poetry podcasts. However, when Children wish to participate in one of our poetry and art competitions, information is collected as follows:

  • Competition entries (poetry or art) must be submitted by Parents/Guardians using the online form included on this website.

  • When Parents/Guardians submit competition entries on behalf of a Child, the online form requests only the Child’s first name, age, and country where they live. No further information is requested about the Child. In addition, the online form requests the full name and email address of the Parent/Guardian. All correspondence happens between Kids’ Poetry Club and the Parent/Guardian.

  • The online form requests Parent/Guardian approval to show a poem or art online and/or in social media using the Child’s first name, age, and country.

  • If a poem is selected to be featured in a podcast episode, Kids’ Poetry Club will contact the Parent/Guardian to discuss whether they approve of recording the Child reading their own poem. If they approve and the Child also agrees to the recording, there is then an additional parental verification step to typically takes the form of a phone call between Kids’ Poetry Club and the Parent/Guardian or a consent form that the Parent/Guardian signs and returns. Upon completion of the additional parental verification step, Kids’ Poetry Club has the option to use (or not use) the recording in a podcast episode and introduce the recording using only the first name, age, and country of the Child.

  • Kids’ Poetry Club will use the Parent’s/Guardian’s contact information to inform them of their Child’s progress in the competition - e.g. if the Child’s entry is selected as a Finalist or Winner.

In addition to the above, if you fill out one of our contact forms, the information you provide will be stored in our customer management software and/or email. If you request to receive emails from us, your email address will be stored in our email management system, and never shared with any third parties.

Disclosure of Information

Kids’ Poetry Club does not share information with any third party.

With the exception of poetry competition Finalists and Winners, email addresses and correspondence collected in the course of a competition are deleted at the end of that competition, and not retained.

For poetry competition Finalists and Winners, email addresses and correspondence are retained for two years before deletion to ensure that Kids’ Poetry Club has the records it may need to demonstrate parental consent for the contents of its website and podcast.

Analytics

We use Google Analytics to help us monitor traffic to our website. These tools do not provide us with any user-specific data. In addition:

  • We automatically collect and store: the name of the domain and host from which you access the Internet; the Internet protocol (IP) address of the computer you are using; the browser software you use and your operating system; the date and time you access our sites; and the Internet address of the site from which you linked directly to our sites. We use this information only as anonymous aggregate data to determine the number of visitors to different sections of our sites and to help us make our sites more useful. We do not use it to track or record information about individuals.

  • We do not use “cookies” or tracking mechanisms that collect personally identifying information on our site.

Choices and Access to Children’s Information

Parents/Guardians may review:

  • The information we have on their Child;

  • Any material from their Child that appears on our website, social media, or in a podcast episode;

  • The contact information we have collected from the Parent/Guardian.

The Parent/Guardian may request that any or all of that information be deleted from our records. To review, update, or delete information related to a Parent/Guardian or Child, please email us at contact@kidspoetryclub.com. You may also send your request to the mailing address listed below. To protect your Child’s safety, we ask for proof of your identification. We may deny access if we believe there is a question about your identity. All requests for materials to be deleted or removed will be processed in full within 7 business days of the request being received and proof of identification completed.

Changes to this Privacy Policy

We may amend this Privacy Policy at any time. If a change happens during an active competition, we will provide Parents/Guardians of Children who submitted to that competition with notice of any material changes in the way we intend to collect, use, and share information.
